Children's Privacy Notice
How information about players under 13 is handled. This is a youth sports platform, so we treat this as the most important page here.

Children do not have accounts
No player signs up for InSeasonHQ. There is no child login, no child-facing messaging, and no way for a child to create a profile. Accounts belong to adults: parents and guardians, and the staff and volunteers who run an organization.
Information about a child reaches us in one of two ways: a parent or guardian enters it when they register their child, or the child's organization enters it from its own records as part of running a season.
What is collected about a child
- Name, date of birth, and gender
- Address, school, and grade, where the organization asks for them
- A photo, if the family or organization adds one
- Health information a family provides for safety at events
- Season activity: team, jersey number, availability responses, and equipment issued
- Notes an organization's coaches or administrators record
It is collected for one purpose: to let the organization run its season safely — place a child on the right team, reach a guardian in an emergency, and keep accurate rosters.
Parental consent
A parent or guardian provides their child's information themselves, as part of a registration they choose to complete, and they agree to the organization's terms at that moment. Where an organization supplies the information instead, the organization is responsible for having the parental consent it needs, and our agreement with them requires it.
We never use children's information for marketing
No advertising. No behavioral profiles. No selling or sharing to third parties for their own purposes. No tracking a child across other websites. We do not send marketing to children, and we do not condition a child's participation on providing more information than is needed to take part.
Who can see a child's information
Only the child's own organization, limited by the role each staff member holds — a coach sees their own team, a registrar sees registrations, a treasurer sees payments. Data belonging to one organization is never visible to another. Our staff access it only when needed to support the organization or to keep the service running securely.
The service providers listed in our Privacy Policy — for payments, messaging, and hosting — process information only on our instructions and may not use it for their own purposes.
Parent rights
As the parent or guardian, you may at any time:
- Review the information held about your child;
- Correct anything inaccurate;
- Request deletion of your child's information; and
- Refuse further collection — though this may mean the child cannot continue to take part in the organization's programs, since the organization needs the information to run them safely.

How long it is kept
Youth sports records carry across seasons, so an organization keeps a player's record for as long as it uses InSeasonHQ, unless the family or the organization asks us to delete it sooner. When an organization leaves the platform, its data is deleted or returned on the timeline in our agreement.
