Registration · Teams · Schedules · Payments

Every season needs
a headquarters.

InSeasonHQ handles the season for youth sports organizations: registration and payments, teams and schedules, volunteers, and family communication, all in one place. Built for the people who actually run it.

No ads · No tracking · No selling family data

Who it's for

Any organization. One headquarters.

For associations

Run by volunteers. Built for them.

The people running your season are volunteers with day jobs. InSeasonHQ gives each of them one place to do their part, and keeps it all there for whoever takes the job next year.

For clubs

Run like a business. Built for one.

The people running your club are coaches and directors building a program. InSeasonHQ handles the registration, billing and scheduling around them, so their time goes to players instead of paperwork.

Features

  • Registration

Forms in your colors that families finish on a phone, every kid in one checkout. Age rules checked, waivers signed, and paper registrations go through the same form.

  • Flexible payments

Money straight to your bank. Families pay in full or on a plan, with the installments charged automatically. Sibling discounts, cash, checks and scholarships are all on the record.

  • Teams and roster offers

Build teams by hand or copy last season’s. After tryouts, offer a player a team; the family accepts and pays in one step, and a decline frees the spot.

  • Schedules on every phone

Fields, courts, rinks and gyms as real venues. Families sync the schedule to their own calendars and RSVP with one tap, coaches see who is coming, and a reschedule reaches everyone at once.

  • Email and text

Email in your organization’s name to everyone, one program or one team, and opt-in texts for the 4pm rainout call.

  • Volunteers

Shifts families claim from the portal, hour requirements tracked per family, and a buyout for the ones who would rather pay.

  • Equipment inventory

Screens, nets, goals, machines and ball carts, counted by the shed, dome or storage room they live in, with every move logged and a repair list for broken gear.

  • Your store

Apparel, banquet tickets, lesson packages and deposits on next season, in a real storefront with a cart and guest checkout.

  • Check-in at the door

One printed QR code and families check themselves in to clinics, camps and open sessions. Punch passes count down, and drop-ins are added on the spot.

  • Reports

The questions a board or a director asks, answered on screen. Pick your columns, filter, save it, and print it for the meeting.

  • Your website Add-on

A public site on your own domain, built from blocks with no code, with schedules, rosters and news fed live from the season. Moving your old site over is work we do, included in your first year.

  • Next year, handled

Copy the season forward with its programs, age groups and forms, and each person signs in with only the access their job needs.

How a season moves

One pipeline, start to finish.

  1. 01Register

Branded forms, custom questions, waivers signed and cards charged online.

  2. 02Roster

Place registered players on teams, or copy last season’s setup. Holding tryouts? Send roster offers instead.

  3. 03Play

Schedules, RSVPs, volunteers, equipment — the season itself.

  4. 04Get paid

Money lands in your Stripe account, with plans, refunds, and reporting.

Roster offers · the teams you pick

Make the offer.
Collect the fee.

Club tryouts, an all-star team, a tournament roster: placing a player used to be three phone calls, a spreadsheet column, and a check that maybe shows up at the first practice. Here it's one motion:

  • You offer 13U Black. The family gets an email with the team, the season, and the fee — and a link that works on any phone.

  • Accepting is a checkout. One motion to accept, pay the team fee, and land on the roster. No chasing checks, no "did they ever answer?"

  • Declines don't stall the season. The slot frees instantly for the next player up, and you see every offer's status at a glance.

The other half of the product

One login per household.

Not per kid, not per team, not per season. A parent with three kids on four teams signs in once and finds everything in one place, so "did you see the email?" stops being anyone's whole job.

  • Household calendar with RSVP
  • Payments & plans across kids
  • Roster offers to accept online
  • Volunteer shifts & hour tracking

Why we're different

Not a media company.

The biggest names in youth sports software are owned by media companies. Their platform is an audience, and the season is inventory. We charge for software instead — so your families' information is nobody's product, including ours.

It's all in writing: Privacy · Children's Privacy · Terms · Data Processing

  • No ads, no analytics trackers, no cookie banner needed
  • Card numbers never touch our servers — Stripe handles checkout
  • Kids never hold accounts; only adults sign in
  • Every organization's data is isolated
  • Export your data and leave whenever you want

Pricing

Unlimited registrations, admins and staff

Plus 3.5% + $3.95 by card, or 1.8% + $2.49 by bank. Charged once per transaction for a whole family checkout — not once per child — with Stripe processing included. Bank costs about half of card, and every family-facing payment screen leads with bank and shows the exact saving. Your organization chooses to absorb the fee or pass it through; families always pay your organization, and your rate is locked in when you sign up.
