Teams & Rosters
Make the offer. Collect the fee.
Tryout night ends, and then the real season starts: the phone calls. A director works down a list, a family "needs to talk it over," a spot hangs in limbo for four days while the next player up waits — and by the time the first family declines, the second one has signed somewhere else. Roster offers in InSeasonHQ turn that week of telephone tag into one motion: offer the spot online, the family accepts or declines online, and accepting collects the team fee right there.
01 The offer, in writing, to the right family
Offer a player a specific team — 13U Black, not "a team, probably." The offer lands in the family's portal and by email, in your organization's name, with the team, the fee, and the deadline on it. No screenshots of a spreadsheet, no "I think we said Tuesday." What was offered, to whom, and when is a record, not a recollection.
02 Accepting collects the fee in the same motion
This is the whole idea. When a family accepts, they pay the team fee at acceptance — by card or bank, once, at the published rates (3.5% + $3.95 card / 1.8% + $2.49 bank). Or, if your club runs team fees on a plan, acceptance starts the plan: deposit now, installments on schedule. A verbal yes that never becomes money is how rosters end up two players short in April; an accepted offer here is a paid, rostered player.
03 A deadline that means something
Every offer carries a response deadline you set. The family can see it; you can see the clock. When the deadline passes without an answer, the offer expires and the spot comes back to you — no awkward "so, about that spot…" call, and no roster spot silently held by a family that already chose another club.
04 Declines free the spot for the next player up
A decline is one tap, and the slot releases immediately. You offer it to the next player on your list while your program is still their first choice — the same evening, not the following week. The team stays private while it forms; families and your website see the roster when you publish it.
05 Rosters born from offers are already right
Players land on rosters from accepted offers with the full player record attached — registration answers, waivers, documents, payment status. There's no second data entry where a birthdate gets mistyped, and the coach's roster, the family's portal, and your exports (league-ready CSV and Excel for the governing bodies that still want a spreadsheet) all read from the same source of truth.
06 The funnel into tryout night already works
Tryout signups themselves run through core registration: fees, waivers, and capacity, so the family that comes to evaluations is already in the system when you make the offer. The parents who ticked "I would coach" or "team parent," and the play-with requests, are collected as lists for the season instead of buried in form answers.
What's live, and what's coming — plainly
Roster offers are live today: offer, deadline, acceptance with fee collection, declines releasing spots. Tryout scoring is not: the assessment builder, evaluator portal, and composite rankings are in development as part of a Tryout Season add-on, and we won't put a date on it until it's real. Evaluations today happen however your directors run them now; the moment a decision exists, the offer flow takes it from there. And like the rest of the platform: no live scoring, stats, or video during the season.
The math, once
A travel team fee of $450, accepted and paid in one motion:
- By bank:$450 × 1.8% + $2.49 =$10.59
- By card:$450 × 3.5% + $3.95 =$19.70
That's the entire transaction — no per-player charge waiting behind it, and the platform fee for the year is the flat $750 your association already knows about. Compare the true cost of the alternative: a director's week of evenings on the phone, which no platform charges for and every director pays.
Frequently asked questions
- How do roster offers work, step by step?
- You assign a player to a team and send the offer. The family sees the team, the fee, and the deadline in their portal and by email. Accepting collects the team fee (or starts its payment plan) and puts the player on the roster. Declining — or letting the deadline pass — releases the spot for your next offer.
- Can we set different deadlines for different offers?
- Yes, the response window is yours to set per offer. A first-choice player and a waitlist call-up don't need the same clock.
- What if a family accepts but wants to pay over time?
- Acceptance can start a payment plan — deposit now, installments charged automatically on schedule, with reminders and retries if a charge fails.
- Do families need a separate account for offers?
- No. Offers live in the same family portal as registration, schedules, and payments — one login per household, and kids never hold accounts.
- Can a team stay hidden while we're still forming it?
- Yes. Teams stay private while they form; the roster becomes visible to families and on your website when you publish it.
- Does this score our tryouts?
- Not yet — evaluation scoring is in development (see the honest version above). Offer management, the time-critical half, is live now.
