What your association actually pays.
Published . Updated .
Four numbers decide what youth sports software costs: the subscription, the percentage per transaction, the flat fee per transaction, and whether card processing is inside the rate or stacked on top. This runs all four on your season — and keeps what the association pays apart from what families pay at checkout, because they are not the same number.

Your season
Use last season's real numbers. Estimates are fine — the shape of the answer is what matters.
Households, not players.
Spring + fall = 2; each program is one checkout per family.
70% by card · 30% by bank (ACH)
Every payment screen leads with bank, so most clubs see the mix move over a season.
Most associations pass it through at checkout, the way a ticket fee is. The toggle only changes whose line it lands on.
What your association pays InSeasonHQ
$750a year, flat — unlimited registrations and admins
That is the whole bill to the association. Families cover processing at checkout, once per family — $17.95 by card or $9.69 by bank on a $400 checkout.
What a family pays at checkout
On an average checkout of $400 (1.6 players at $250), charged once for the whole family:
By card
$17.95
3.5% + $3.95
By bank
$9.69
1.8% + $2.49
Stripe's processing is inside both rates, not stacked on top. Bank costs about half, and every family-facing payment screen leads with it and shows the saving in dollars.
The bank lever
$3,469.20
less for your families this season if every family paid by bank instead of 70% by card. Slide the mix to see it move.
Once per checkout
$1,264.32
saved this season because the flat fee lands once per family checkout. A per-player flat fee at the same rates would charge it 1.6 times per checkout — on multi-kid families, that is the whole story.
The whole season, line by line.
For the treasurer's budget. Processing is what the card networks take on every platform; here it is inside the published rates, paid by families at checkout, and it comes to about 3.9% of what you collect at this card-and-bank mix.
| Registration collected from families | $240,000.00 |
| Subscription, paid by the association | $750.00 |
| Card processing — 420 checkouts, paid by families | $7,539.00 |
| Bank processing — 180 checkouts, paid by families | $1,744.20 |
| The association's bill | $750.00 |
| Per family, per year: registration plus processing | $800.00 + $30.94 |
Comparing a quote?
Most of the category does not publish its rates, so we will not guess at them for you. Ask every vendor the four questions — a quote that answers only the first one is not a quote — and then bring it to a demo. We run it line by line against this page, with your numbers.
- 01
The subscription
A flat fee for the software, usually annual, sometimes monthly.
- 02
The percentage per transaction
A share of every registration fee you collect.
- 03
The flat fee per transaction
A fixed amount on top of the percentage, charged per payment.
- 04
Whether card processing is included
Stripe and the card networks take roughly 2.9% + $0.30 of every card payment. Somebody pays it.

Assumptions: each family checks out once per program; processing rates are InSeasonHQ's published rates (card 3.5% + $3.95, bank 1.8% + $2.49, Stripe's processing included — not stacked), charged once per family checkout. Averages hide variation — a family with one player in one program pays less than the per-family average shown; a family with three players in two programs pays more in registration but the same flat fee per checkout. The per-player comparison applies the same rates with the flat fee charged per player, which is how most of the category structures it.
