Terms of Service
The agreement between InSeasonHQ and the organizations that use it, plus the ground rules for everyone who signs in.

Who these terms are for
InSeasonHQ is sold to organizations — clubs, leagues, and associations. When someone accepts these terms on an organization's behalf, they confirm they are authorized to bind it, and the organization is our customer.
Families use the platform through their organization. Sections "Acceptable use", "Your content", and "Accounts" apply to everyone who signs in; the commercial sections apply to organizations.
Accounts
- You must be 18 or older to hold an account. Children do not have accounts.
- Give accurate information and keep your password secure; you are responsible for activity under your account.
- An organization controls who on its staff has access, and what each role may see. Removing a person's access is the organization's job.
- Tell us promptly at support@inseasonhq.com if you believe an account has been compromised.
What the organization is responsible for
Because the organization decides what to collect and who may see it, the organization is responsible for:
- Having the right to provide the information it enters, including any consent needed from parents and guardians;
- The accuracy of its own registration forms, fees, waivers, schedules, and rosters;
- Managing its staff's access and removing people who leave;
- Its own refund, cancellation, and code-of-conduct policies, and communicating them to families;
- Complying with the rules of any governing body it belongs to, and with the law where it operates.
Fees, payments, and payouts
- Subscription. Plan fees are billed in advance on the interval chosen and renew automatically until cancelled. Paid add-on modules are billed the same way.
- Registration payments. Families pay the organization through Stripe. Money goes to the organization's own connected Stripe account — it does not sit with us.
- Platform fee. We take a per-transaction platform fee, disclosed in the app before an organization turns on payments. An organization chooses whether to absorb it or pass a service fee to families.
- Processing costs. Stripe's own processing fees apply and are set by Stripe.
- Refunds to families are issued by the organization from its own funds; our platform fee on the original transaction is not refunded unless we say otherwise in writing.
- Non-payment. If a subscription lapses, an organization's account becomes read-only until it is brought current. We do not delete data for non-payment without notice.
- Taxes. Each organization is responsible for its own taxes.
Cancellation and data export
An organization may cancel at any time; the subscription runs to the end of the paid period and does not renew. Before or shortly after cancelling, an organization may export its rosters, registrations, and payment records. After the period in our Data Processing Addendum, we delete its data.
We may suspend or end an account for non-payment, for a serious violation of these terms, or where continuing would put children or other users at risk. Except in urgent safety cases we will give notice and a chance to fix the problem first.
Acceptable use
Do not:
- Use the platform to harass, endanger, or exploit anyone — especially a minor;
- Upload malicious code, or try to break, overload, or gain unauthorized access to the service or another organization's data;
- Scrape or bulk-extract other people's personal information;
- Use another organization's or family's information for your own marketing;
- Misrepresent who you are or which organization you act for;
- Resell or white-label the service without our written agreement.
Your content
Organizations and families keep ownership of what they put in — rosters, photos, page content, and documents. You give us the permission needed to host, display, and process it in order to provide the service, and nothing more. We do not use your content to advertise, and we do not sell it.
Do not upload content you do not have the rights to, and be careful with photographs of children: an organization is responsible for having the permissions its families expect.
Availability
We work to keep the service available and will give advance notice of planned maintenance where we reasonably can. We do not promise uninterrupted service, and no formal uptime commitment applies unless we have signed one with you in writing.
Disclaimers and limits
The service is provided "as is." To the extent the law allows, we disclaim implied warranties of merchantability, fitness for a particular purpose, and non-infringement.
We are not responsible for the decisions an organization makes with the software — team selections, eligibility, refunds, discipline, or the safety of an event. Those belong to the organization.
To the extent the law allows, neither party is liable for indirect, incidental, or consequential damages, and our total liability for any claim is limited to the amount the organization paid us in the twelve months before the claim.
Changes to these terms
We may update these terms; we will notify organizations of material changes before they take effect. Continuing to use the service after that means accepting the new terms.
